Event staffing pricing in Toronto is not transparent. Companies quote hourly rates, add coordination fees, tack on travel charges, and bill for minimums — and very few of them explain this upfront. This guide breaks down what you'll actually pay, role by role, and what questions to ask before you commit.

50-person corporate lunch

2 servers × 4 hours × $30/hr = $240 in labour. Add a coordination fee of $75–$100 for managed staffing. Total staffing cost: roughly $315–$340. This is a small booking but worthwhile — the right staff at a CEO lunch matters.

100-person wedding reception

6 servers × 6 hours × $32/hr = $1,152. 2 bartenders × 7 hours × $42/hr = $588. Coordination fee: $150–$200. Total: approximately $1,890–$1,940. This doesn't include your caterer or food costs — only the people serving it.

200-person corporate gala

10 servers × 6 hours × $32/hr = $1,920. 3 bartenders × 7 hours × $44/hr = $924. 1 sous chef for kitchen support × 8 hours × $60/hr = $480. Coordination: $250. Total: approximately $3,574. For a 200-person gala, this is a very reasonable staffing budget.

Private dinner party for 20

1 private chef × 5 hours × $70/hr = $350. 1 server × 4 hours × $32/hr = $128. Total: $478 — a professional, fully-managed dinner experience. Many clients spend more than this on wine.

What Drives the Cost Up

Rush bookings (under 48 hours)

Rush staffing carries a 20–50% premium. This covers the operational cost of activating on-call staff and the real scarcity of qualified staff on short notice. Urgent doesn't mean impossible — but it does mean more expensive.

Out-of-GTA events

Events outside the Greater Toronto Area typically carry a travel billing component (portal to portal) and a minimum shift hours requirement (usually 5 hours vs. the standard 4). Confirm all travel costs before any agreement.

Multi-day events

Conferences, multi-day weddings, and corporate off-sites need fresh staff each day or overtime rates for consecutive days. This is standard — don't expect the same team to work 12-hour days for 3 days at standard rates.

Formal plated service

Plated multi-course dinners require more servers per guest than buffet-style service (see our staffing ratios guide), which means a higher total labour cost even at the same hourly rate.

Fees You Need to Ask About Explicitly

Coordination or management fee

Legitimate staffing companies charge a coordination fee for managed bookings. This covers the operational layer — briefings, confirmations, day-of management, and no-show coverage. Expect $75–$250 depending on event size. This is worth paying for. What's not worth paying is a coordination fee with no actual coordination behind it.

Gratuity

Some companies add gratuity as a percentage of the total labour cost. It may be optional or required. Ask upfront. Industry standard is 15–20% if you choose to add it; it's typically distributed to staff.

Cancellation and change fees

Reducing your booking size close to the event date can incur fees. So can last-minute cancellations. These policies vary by company — get them in writing before confirming.

Overtime

If your event runs long, overtime is billed at 1.5× the standard rate (Ontario Employment Standards Act minimums apply). Build buffer time into your booking rather than hoping to extend on the night.

Why "Cheap" Staffing Costs More in the End

The gig platform model looks cheaper on paper. It isn't on balance. Here's why:

  • No-show risk falls on you. If a freelancer cancels the morning of your event, you're scrambling. A managed staffing operator covers this gap internally.
  • Your time has value. Chasing confirmations, sending reminders, and briefing staff yourself takes hours. A managed operator absorbs all of this.
  • Quality variance is higher. A gig platform sends you whoever accepted the job. A staffing operator sends you someone they've worked with before and will vouch for.
  • The marginal cost of the professional option is small. The difference between a platform server and a managed server might be $5–$8/hr. On a 5-hour booking, that's $25–$40. The risk differential is not $40.
