What Affects Your Final Cost
- Event length — most events run 4–8 hours; minimum shift lengths vary by role
- Guest count — more guests typically requires more servers; we recommend the right ratio
- Service style — formal plated service requires more staff per guest than buffet or cocktail-style
- Coordination fee — our Managed Staffing tier includes a fee covering briefings, day-of management, and no-show coverage
- Rush bookings — under 48 hours notice carries a 35% premium; we confirm availability before committing
- Out-of-GTA events — travel time is billed at hourly rate (portal to portal) with a 5-hour minimum
How Many Staff Do I Need?
General guidance for plated dinner service:
- Under 30 guests — 2 servers, 1 bartender (optional)
- 30–75 guests — 3–4 servers, 1 bartender
- 75–150 guests — 5–8 servers, 1–2 bartenders
- 150–300 guests — 9–15 servers, 2–3 bartenders
- 300+ guests — custom staffing plan; contact us directly
Buffet and cocktail-style events require fewer servers per guest but the same bar coverage. See our complete staffing ratios guide for a full breakdown.
Coordination Fee — What It Covers
Our Managed Staffing coordination fee is not a booking surcharge — it's the operational layer that separates a managed team from a marketplace listing. It covers:
- Staff selection and assignment from our vetted roster
- Pre-event briefing: timeline, service style, dress code, client notes
- Day-of check-ins and confirmation from our operations team
- No-show coverage — if someone can't make it, we find a replacement before you find out
- Post-event performance review (used to build your staff profile for repeat bookings)
Corporate Account Pricing
Companies booking 4 or more events per quarter qualify for volume pricing and a dedicated account contact. If you run recurring catered lunches, quarterly events, or frequent executive dinners, get in touch and we'll structure a rate that reflects your volume.
Rush Booking Policy
We keep an on-call staff pool for urgent requests — last-minute cancellations, same-day needs, and short-notice events. Rush bookings (under 48 hours) carry a 35% premium. We confirm availability and rate before anything is committed.
